Policy Privacy
Your privacy matters.
How Wren Psychology Services collects, uses, stores and protects your personal and health information.
About this policy
Wren Psychology Services is a psychology practice run by Nicole Wren, a registered psychologist. I am bound by the Privacy Act 1988 (Cth), the Australian Privacy Principles and the Psychology Board of Australia's Code of Conduct. This policy explains how I handle your information. It was last updated on 20 October 2026.
What I collect
To provide safe and effective care, I collect personal and health information, including:
- your name, date of birth, contact details and emergency contact;
- Medicare, health fund, NDIS or claim details where these apply;
- information about your health, wellbeing, history and circumstances;
- referral letters, Mental Health Treatment Plans and reports from your GP or other health professionals;
- claim, approval and case manager details from WorkCover Queensland, your employer's insurer or other insurers;
- session notes, questionnaire scores and the goals we set together.
You can ask to deal with me using a pseudonym or without identifying yourself, but this usually isn't practical for treatment, and it isn't possible for Medicare, insurer or WorkCover-funded sessions.
How I collect it
Mostly from you directly: in sessions, on forms and by email or phone. With your consent, or where you have asked them to refer you, I also receive information from your GP or other health professionals, and from WorkCover Queensland, insurers or case managers involved in your claim.
How I use and share it
I use your information to assess and treat you, keep accurate clinical records, manage appointments and payments, and process Medicare, health fund, NDIS or insurer claims.
I only share your information:
- with your consent, for example with your GP, referrer or another health professional involved in your care;
- with WorkCover Queensland, your employer's insurer or another insurer funding your sessions, limited to what the claim requires, such as attendance, progress, capacity and treatment plans. I'll talk with you about what goes in these reports;
- with Services Australia to process Medicare claims;
- where the law requires or allows it, for example to lessen or prevent a serious threat to someone's life, health or safety, or under a court order or subpoena.
I don't sell your information or use it for marketing.
How I store and protect it
Records are kept electronically in secure, password-protected practice management software designed for health practitioners, with access limited to me (provider to confirm). Telehealth sessions use a secure video platform and are not recorded. Paper documents are scanned and then securely destroyed.
Some of the services I use, such as practice software, email and telehealth, are provided by third parties who store data on my behalf. I choose providers that store health information in Australia where possible (to confirm). I don't otherwise send your information overseas.
I keep adult clinical records for at least 7 years after our last contact, as required for psychologists, and then destroy them securely.
Accessing and correcting your information
You can ask to see or get a copy of the information I hold about you, and ask me to correct it if it's inaccurate, out of date or incomplete. Please email me. I'll respond within 30 days. In limited cases the law allows access to be refused, for example where it could pose a serious risk to someone's health or safety. If so, I'll explain why in writing and discuss other options, such as providing a summary.
This website
This website does not use cookies, tracking or advertising tools, and does not collect personal information unless you email me. Our hosting provider, Cloudflare, keeps standard technical logs, such as IP addresses, for security and reliability. Please don't send detailed health information by email; we can discuss it securely in session.
